What the count is actually counting
A layout file is not a flat piece of text, and that is why two people counting the same InDesign document often arrive at different numbers. The count you want before a translation is the count of everything that will need translating, including the parts nobody can see on screen. Five places hold words that are easy to miss:
- Overset text. Copy that no longer fits its frame does not disappear from the file. It sits in the story, invisible in the layout and fully present in the export, so it reaches a translator and appears on the invoice.
- Threaded frames. One story can run through frames on a dozen spreads. Counting a page at a time double counts the overlap or misses the tail, which is why a per-story count is the reliable one.
- Master pages and the pasteboard. Running heads, folios and standing footers live on masters and are counted once there rather than once per page. Items parked on the pasteboard are still in the file, and old drafts are often left there.
- Tables, footnotes and captions. Each table cell is its own small story. A specification table can hold more words than the body copy around it while looking like a graphic.
- Text inside placed graphics. A label baked into a linked PSD, AI or PDF is pixels to InDesign. It will not be counted and it will not be translated, so it has to be handled separately or rebuilt as live text.
IDML is the format that makes all of this visible, because it is a package of XML that names every story in the document rather than a rendered picture of the page. That is also why counting from IDML and translating from IDML give matching numbers: the same stories go through both. One thing to plan for afterwards is length, since translated text rarely occupies the same space as the original, and a layout built tightly around English will need its frames revisited once the new language is in place.
